The full-time position of the Administrative Assistant exists primarily to assist with carrying out the Mission of the Catholic Pro-Life Community. All employees and volunteers of the CPLC are to exercise faithful stewardship of the time, talent, and resources at their disposal and those of their co-workers in achieving the results that will be most worthy of the prayers, sacrifices, and generosity of our supporters.
SUMMARY OF POSITION
Reporting directly to the Executive Director and the Director of Operations the Administrative Assistant provides office support for the central CPLC office, as needed department and event support as well as administrative support for the Executive Director and Director of Operations.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Office Support
• Front office reception including answering phones and receiving guests and deliveries
• Managing and ordering office supplies and break room supplies
• Maintaining equipment inventory and managing checkout
• Troubleshooting computer/printer issues and facilitating IT assistance
• Tracking conference room use
• Management of staff calendars
• Upkeep of common areas and organization of storage
• Facilitate recycling
Administrative Support
• File Management
• Assisting with travel arrangements
• Support Human Resources and Safe Environment related tasks
• Other administrative duties assigned by the Executive Director and Director of Operations
• Department Support
• Executing printing projects at direction of Communications Department
• Facilitating in-house mailings at direction of Communications and Development Departments, including mail merge, supply management, and volunteer oversight
• Translation assistance as needed
• Event assistance as needed
KEY QUALIFICATIONS
Acceptance of the magisterial teachings of the Catholic Church with detailed understanding of the teachings on the life issues
Compliance with all Safe Environment requirements of the Diocese of Dallas and the CPLC
Ability and desire to support the mission of the Catholic Pro-Life Community and the Church
Active membership in a parish/faith community in good standing with the Church
Understanding of and compliance with the Diocese’s Safe Environment Program
Ability to demonstrate the values of the CPLC consistently and positively, as a “face” of the CPLC to the diocesan and pro-life community
Must be service-oriented and maintain confidentiality
Bilingual in English and Spanish strongly preferred (written translations skills a plus)
Detailed oriented
Proactive problem solver
Ability to prioritize work assignments and meet deadlines in a timely, accurate manner
Ability to function independently and as part of a team
