Overview of the Position

As a part of the Pro-Life Generation, Students for Life of America is looking for an Executive Assistant to the President. This person will report directly to the President of Students for Life of America/Action and CEO of the Pro-Life Generation, Kristan Hawkins. This is an exciting position for a passionate pro-life professional looking to serve the pro-life movement in an administrative capacity.

Location: Jackson Hole, WY/Driggs, ID/Idaho Falls, ID General Region

 

Responsibilities

Administrative Duties

  • Plan and coordinate all travel for the President.
    • Book hotels, flights, rental cars, Airbnb’s.
    • Plan out all travel itineraries with exceptional detail.
    • Work with and coordinate several internal teams to ensure productive trips with minimal logistical issues. These trips will include supporter meetings, media interviews, and public speeches, often all three.
    • Ensure meetings with all internal teams are had prior to extended trips.
  • Join meetings that the President is on to record decisions and action items for President or other team members to complete.
  • Manage the Presidents calendar and inboxes.
    • Ensuring itineraries are prepared prior to meetings and logistics for speeches and travel are updated regularly in the President’s calendar.
    • Respond to meeting requests, internally and externally, and coordinate with staff who will be joining the meeting to ensure participation.
    • Organize, respond to, and manage multiple of the President’s email accounts. This will be the largest and most important task of the position as there are hundreds of incoming emails per day.
    • Brief President daily on approvals due that she must review in her inbox as well as incoming email and virtual conversations that she should be aware of, while not reading.
    • Ensure President is aware of daily calendar and check-in with President multiple times throughout day to ensure schedule can be followed or make changes as needed.
  • Organizational Communication
    • Assist team members in their correspondences with the President and ensure they are sending information & approval requests in correct, easy to read format.
    • Follow-up on assignments the President delegates to staff.
    • Make some decisions on behalf of the President.
  • Financials
    • Complete President’s monthly expense report and organize receipts.
    • Send President’s expense reports to board member, President, and Vise President on a quarterly basis.
  • Attend organizational board meetings as official notetaker and work with board members to arrange quarterly meetings.

Developmental Duties

  • Assist President in supporter correspondence.
  • Contact supporters regularly to set up meetings or invite them to events with the President and other SFLA team members.
  • Update supporter database as needed for the President to record communication and notes.
  • Research supporter prospects for President.
  • Reporting metric and project successes and communicating them to corresponding team members.

Project & Coalition Building:   

  • Following up with those whom the President meets, has spoken with, or who reaches out to her to launch a specific initiative or project, before passing off to other team members to complete.
  • Ensure a debrief and follow-up happens after the President travels or attends events.
  • Collaborate with the President to make connections to policy and political leaders in states as needed to launch projects and move ideas forward.
  • Assist the President in memo writing to supporters to update on Pro-Life Generation projects or asks.
  • Special projects as assigned.

 

Qualifications

  • Proficiency in Microsoft Office programs such as Word, Excel, and Outlook.
  • Candidates must have knowledge of grammar rules and utilize the oxford comma.
  • Must have at least 3 – 5 years of experience working as an executive assistant.
  • Candidates must have knowledge of grammar rules and utilize the oxford comma.
  • Must have a valid driver’s license and insurance.

Position Details

Position Type

  • This is a full-time salaried position working at least 40 hours per week. Days and hours of work are Monday through Friday, 8:00 a.m. to 5 p.m.
  • Must be able to work flexible hours, available via text/call for emergencies in the evenings and on the weekends.

 Physical Demands

  • Must have the ability to operate technical equipment such as a computer and sit for extended periods of time.
  • Must be able to withstand extended periods of driving.
  • Must be able to travel with the President, taking early and red-eye flights.
  • Must be able to drive a car safely and confidently.
  • Must be able to work in an environment with children present.

Travel

  • Travel to bi-annual team trainings, speaking tours and events, donor events, and more.
  • If female, will be expected to share room with the President.
  • Expect to travel 30-50% of the time alongside the President.

Work Authorization

  • Must be able to successfully complete an I-9. The I-9 is used for verifying the identity and employment authorization of individuals hired for employment in the United States.
